Mobility for study

Before departure

What to do

Watch the video tutorial “Mobility for study: what to do after the selection”.

1. Wait for the Nomination

  • After you have accepted the mobility, the International Mobility Unit (IMU) officially introduces you to the host institution (nomination) within the deadlines.
  • It’s carried out by our office (IMU) in compliance with the deadlines.
  • After the nomination you may contact the host institution for any other necessary information.

2. Fill out the Application at the assigned host institution

  • Consult the website of the host institution to check their deadlines and the required documents.
  • If no indications are provided, you may contact the host institution after our nomination.

3. Prepare your trip

  • If you are going to go to a non-EU destination, to the UK or to Turkey you must have a valid passport. Therefore, if you don't have one, we recommend that you set about getting one right away.
  • Check if it is necessary to obtain an entry visa.
  • Get information about the health assistance in the host Country.

Politecnico di Milano has signed an agreement with Europ Assistance offering special conditions for students. For more information, please visit the dedicated page.

4. Prepare the Online Learning Agreement (OLA)

The OLA is the agreement you sign with Polimi and the host university, which defines your study plan abroad and guarantees the recognition of the credits you will earn.

You can fill it out online after your nomination. To prepare it, explore the course catalogue of the partner university in detail (course descriptions, ECTS, etc.).

Then, access the OLA tool from the Online Services>International Mobility for studies>My Mobilities>a.y.>Details>Access to your Learning Agreement. Complete a first draft, and wait for your referent professor’s evaluation.

If your mobility takes place at an Erasmus partner university, your OLA will be digitally transmitted to and evaluated by the host institution.

Watch here the tutorial on how to fill in the OLA.

5. Upload the Acceptance Letter

It is the official notification by the host institution that confirms the acceptance of your mobility. It contains useful information on your mobility period and/or other educational/organisational aspects.

  • Upload it on My Mobilities as soon as you receive it.
  • Indicate the date of the beginning of the activities as written in the Acceptance Letter or according to the academic calendar of the partner university

For students leaving for non-EU destinations: the acceptance letter must be presented to the consular representatives to obtain the visa to enter the host Country.

6. Mobility Agreement

It is the agreement that regulates your study period at the host institution.

  • In the agreement, you find information on the duration of the mobility, the amount of the scholarship, the necessary documentation to obtain the validation of exams.
  • You must sign it before leaving. Your agreement will be available approx. 10 days before your departure. Access «International Mobility for Study», «my Mobility Agreements» section, choose the language in which you prefer the agreement to be generated (ITA or ENG) and follow the instructions to sign it digitally via the IO app. Only if you are unable to use the IO app: download your mobility agreement, sign it and scan it. Rename it with SURNAME_NAME_PERSON CODE and re-upload it. Your agreement will be countersigned and available online before departure.

7. Remember the deadlines of Politecnico

Even during your stay at the host institution, you will still be a student regularly enrolled in a study course of PoliMi. If you miss these deadlines you may incur in fines and/or exclusion from some benefits.

Check here the deadlines for:

  • the enrolment in the academic year
  • the tuition fees payment
  • the submission of your Study Plan – Important: The PoliMi exams mentioned in your Learning Agreement must be included in your Study Plan. You are though dispensed from registering for the PoliMi exam sessions. These exams will be validated after your return from the exchange mobility.
  • updating the ISEE and payment details for the contribution
